
Job Title: Client Coordinator
Reports To: Office Manager

Job Summary: We're looking for a part-time Client Coordinator (20–25 hrs/week) who’s organized, adaptable, and enjoys keeping things moving. You’ll be the first point of contact for our clients—by phone, text, or web—and a key player behind the scenes making sure everything runs smoothly. This role blends routine tasks with the unexpected, so if you're someone who owns their systems, thinks ahead, and cares about the customer experience, we’d love to hear from you.

Schedule:
Our hours are 7 AM to 3 PM, but we’re flexible for the right fit. If you’re interested but need to tweak the schedule slightly, we’re happy to talk.

For this role:
Mondays and Tuesdays: full days
Wednesdays & Thursdays: 7 - 11
Fridays: (as needed)

Responsibilities:
Answer calls, texts, and emails with clarity, warmth, and professionalism
Coordinate property visit requests—understand the concern, gather all details, and match clients to the right service and time.
Manage calendars for 3 consultants, optimizing routes and adjusting on the fly.
Convert approved quotes into jobs—double-checking scope and pricing. Follow up with clients with scheduling expectations and any change requests.
Collaborate with crew, consultants, mechanics, and leadership as needed
Join a weekly office meeting to review client concerns, share insights, and plan ahead
Jump in on various small office projects when needed
